Payroll Administrator

Under minimal supervision, prepares the weekly payroll for all US employees and assists with the semi-monthly process, maintains accurate records of all processing documents, administers ADP Workforce Now.  Also ensures timely and accurate delivery of payroll and related employee service, including recordkeeping and reporting.



  • Performs timekeeping administration, validates timesheet hours, and reconciles data timekeeping imports into the payroll system
  • Ensure all payroll operations and communications comply with company policies as well as federal, state, and local regulations
  • Coordinates the timely and accurate processing of weekly payroll,
  • Audits the calculation of wages, overtime, and deductions.  
  • Strong knowledge of California wage and hour, specifically the Regular Rate of pay calculations and Meal Penalties.
  • Works closely with time administrators to ensure accuracy of timesheets.
  • Works with Human Resources to assure accuracy of imported data.
  • Conducts ADPWFN training, as needed.
  • Prepares manual checks or pay cards as needed.
  • Processes and researches garnishments; communicates with employees/requesters related to garnishments.
  • Reconciles and resolves payroll issues related to semimonthly and weekly payroll.
  • Creates custom payroll reports as requested by management.
  • Participates in ongoing projects, system implementations.
  • Manages the ADP timeclocks for all US locations.
  • Responsible for resetting passwords in ADPWFN.
  • Maintains positive, open lines of communication with all employees and other departments and contributes to the smooth flow of information and efficient operation of the organization.
  • Communicating with the Payroll Manager with any concerns or unresolved issues.
  • Maintain confidentiality on sensitive documents and all personal information
  • Follows company policies and practices as outlined in the Employee Handbook and/or applicable employment agreement. Follows safety guidelines and procedures in accordance with the job.
  • Actively supports Pelican’s commitment to Quality and all quality objectives, with an emphasis on continual improvement.
  • Performs additional duties as assigned.



  • High School Diploma or Equivalent.
  • Minimum of 3-4 years’ experience in Payroll.
  • Proficient with Microsoft Office Suite, high proficiency in excel and able to create pivot tables.
  • Ability to resolve payroll issues by applying knowledge of State and Federal wage and hour law.
  • Must have solid, measurable understanding of wage and hour laws-specifically California.
  • Attention to detail, organized and time management skills.
  • Strong verbal and written communication skills.
  • Ability to effectively present information in one-on-one and small group situations.
  • Ability to maintain a high level of confidentiality.
  • Bilingual:  English/Spanish-required



  • Experience with online timekeeping system.
  • Experience with ADP Workforce Now or other computerized system.
  • Multi-state Payroll experience

  • Must have the ability to complete assignments within the timeframe specified by the Manager.
  • Must be flexible regarding working hours and overtime. Must be able to work overtime on evenings and weekends, with or without advanced notice.
  • Must be able to operate in a fast-paced environment and handle multiple projects simultaneously.



  • While performing the duties of this job, the employee will be occasionally required to execute standard physical activities within the facility areas (i.e. stand, walk, sit, use hands/fingers).
  • While performing the duties of this job, the employee will be occasionally required to execute non-standard physical activities within the facility areas (i.e. climb or balance, stoop, kneel, crouch).
  • Ability to lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds.
