Under minimal supervision, perform a wide variety of clerical and administrative functions including support to the CFO, Controller, and Director of Financial Planning.  Highly motivated professional that has the ability to work in a fast-paced environment, extremely organized and can handle multiple responsibilities.  Must be proactive, resourceful, and efficient while maintaining a high degree of confidentiality.


What You’ll Do:

  • Perform various clerical and administrative functions, including phone support, manage calendars, prepare Power Point presentations and correspondence, compilation of data, reports and spreadsheets, coordinate mailing, and file and maintain documents.
  • Coordinate meetings and travel arrangements.
  • Monitor government reporting requirements and deadlines, including tax filings, annual information reporting and government surveys.
  • Obtain resale certificates for customers and validate and maintain resale certificates to ensure validity.
  • Responsible for ordering and monitoring all office supplies for the department. 
  • Coordinate the repair of any maintenance of the office equipment within the department with respective vendors.
  • Set up new vendors in SAP, update vendor file maintenance for any changes.
  • Obtain, validate and maintain Form W-9’s from vendors. 
  • Provide customers with copies of invoices/statements upon request and mail invoices.
  • Assist with data entry when necessary.
  • Actively support Pelican’s Quality Objectives and contribute to Quality Management System activities as assigned.
  • Perform additional duties as assigned by the Corporate Controller or CFO.

What You’ll Need:

  • AA Degree in Business, Accounting or related field, and 4+ years on-the-job experience preferably in a manufacturing environment.
  • General knowledge of accounting and related functions and procedures, a plus.
  • Excellent verbal communication and phone skills.
  • Excellent writing and data entry skills required.
  • Detail-orientated, organized, and ability to prioritize workload.
  • Maintain a high degree of confidentiality.
  • Proficient in Microsoft Excel, Word, PowerPoint and Outlook.  SAP experience a plus
  • Ability to complete assignments within time frames specified.
  • Ability to interact effectively and cooperatively with employees at all levels.
  • Ability to effectively communicate with external vendors, customers and other partners
  • Flexible with work schedules and be available to work overtime in evenings and weekends, with or without advanced notice.
  • Ability to operate in a fast-paced organization and handle multiple projects simultaneously.
